Conditions for Hire

  • Access is only within your booked hours, please ensure you book enough time to set up and clear and reset the hired space within this, as there may be events immediately before and after yours. You must leave the hired space on time.
  • Your group may not be able to enter the building until the time of your event, depending on any other activity taking place.
  • When they are in any part of the premises, you are responsible for your group at all times, including before and after your event. Please remember there are usually other people working and activities taking place in The Pyramid and to avoid any excessive noise/disruption in the shared/public areas.
  • All spaces must be cleared and reset after use, with all rubbish cleared and furniture etc replaced in their original location.
  • Bulky waste and large items of rubbish are not permitted.
  • Glass recycling must be agreed upon before your event.
  • Please do not move or adjust heaters – let the Duty Manager know if the temperature in your space is uncomfortable and they will assist you.
  • You may only use the space you have booked, hallways and other rooms and spaces are not included in the hire. You should not enter any other rooms without prior permission.
  • You/your group may not park vehicles/bikes on Pyramid property unless this has been agreed in advance – there is on street parking and bike racks outside the building.
  • Please let us know if you are delivering anything to the building in advance of your hire and we will confirm if we are able to accept.
  • All corridors, entrances and exits must remain clear at all times, do not prop fire doors open or remove extinguishers from walls.
  • Cables must not run across floors and create trip hazards.
  • Do not affix anything to walls, floors, etc or cover up any signage without agreeing it with us. If we permit you to display/fix anything, this must be temporary and able to be cleanly and completely removed without causing damage.
  • No smoking or vaping anywhere in the building, or in external doorways, at exits/entrances, or by windows at any time.
  • You may not serve food unless you notify and agree this with us in advance. This does not include personal food or food for medical reasons. You must ensure any food/drinks are disposed of after your event and not left in the building, unless by prior consent.
  • No animals/pets are permitted in the building, apart from service/support animals. You may not tie up animals outside, e.g. on our railings etc.
  • Your group leader is responsible for ensuring the safety of your group members at all times and especially in the event of the fire alarm sounding or a requirement to evacuate the building. You must ensure that your group follows instructions from our staff at all times.
  • No illegal drugs on site at any time, and anyone under the influence of illegal drugs or intoxicated will be asked to leave the site.
  • If you wish to serve or provide alcohol you must explicitly agree this with us beforehand. Please note, we can apply for a temporary alcohol licence, but advance notice and payment is required, the event must be confirmed at least NINE weeks before the day to allow an occasional licence to be applied for, licences are discretion by Glasgow City Council and not guaranteed.
  • No open or enclosed flames, including birthday candles, sparklers or tea lights are permitted at any time in any part of the building.
  • Children must be supervised at all times.
  • Use of the kitchen is not included in your hire unless specifically requested and agreed. We may require kitchen use to be supervised by a member of our staff, which will be charged for.
  • We are in a residential area, so please keep noise to a minimum, particularly when leaving the building.
  • All activities must be agreed before the hire, we reserve the right to stop any activity if not agreed beforehand, or if your event differs from your stated event, and no refund of hire fees will be payable.
  • We do not accept bookings which include political campaigning, fundraising, or recruitment without prior explicit agreement; we cannot host activities which involve publicity which promotes or poses a view on a question of political controversy which is identifiable as the view of one political party.
  • We have a zero tolerance policy to harassment, verbal or physical abuse or discrimination to our staff, volunteers and other users of the building. If you or a member of your group breaches our policy, we reserve the right to ask you/them to leave the premises immediately. No refunds or reimbursement of hire or any other costs will be applicable in this case.
  • If you intend to bring in external equipment, such as a bouncy castle or similar, the placing and use of this must be agreed in advance, and insurance must be in place.
  • You may be asked to provide public liability and other insurances depending on your event and the event nature.
  • Any electrical equipment must be either PAT tested or under 12 months old. There is a limit to how much electrical power the building can draw at any time, if you will be using electrical equipment, please let us know in advance so we can advise.
  • No smoke, haze, or fog machines are to be used within the building.
  • Use of helium balloons is fully prohibited, and not allowed under any circumstances. Any costs incurred in the removal of helium balloons will be recharged to hirer.
  • The costs of intentional damage or any other loss, theft or damage (other than acceptable ‘wear and tear’) to the building, furniture or any Pyramid property and replacement/making good will be fully recharged to hirers.
  • Use of The Pyramid at Anderston logo or branding for promoting public or community events at our space must be approved before publication – please ask us for logo files and correct usage guidance.
  • On acceptance of your booking, you must pay a deposit of 25% to secure your booking. Your booking is not fully confirmed until the deposit has been paid and cleared.
  • Cancellation – if you wish to cancel completely, please email info@thepyramid.scot as soon as you can. Our usual policy is to charge a percentage of the booking fee for a cancellation depending on the notice given. 48 hours or less = 100% of fee,  48 hours to 7 days = 50% of booking fee, 7 – 14 days = deposit or Admin fees. Please note that deposits are non-returnable.
  • Full payment must be paid in advance of the hire, usually at least two weeks before unless by agreement, and can be made by bank transfer, cash, or cheque (personal cheques will not be accepted). We will exercise our statutory right to claim interest (at 8% over the Bank of England base rate) and compensation for debt recovery costs under the Late Payment legislation if we are not paid according to our agreed credit terms.
  • The Pyramid at Anderston reserves the right to postpone or cancel events in the case of severe weather warnings or extreme weather conditions that pose a risk to the safety of staff or the public, and which are beyond our control. We will monitor weather forecasts and communicate any potential cancellations with event organisers at the earliest opportunity. In cases where rescheduling is not feasible, refunds may be issued at our discretion. 
  • By confirming the booking in writing and or paying a deposit, all hirers agree to the above terms and conditions.

Please note that your booking will not be confirmed until we receive your agreement to the above guidelines.
